Laudio Outlook Add-In Overview (Early Access)

The Laudio Outlook add-in lets you capture recognition, feedback, and follow-ups without leaving your inbox. From any email, you can send a message to a team member, add a note to their profile, or copy an email directly into Laudio — so the moments worth documenting are logged where the rest of your team activity lives.

Key Benefits

  • Capture notes and recognition in the flow of your inbox, without switching to Laudio
  • Keep team member records complete by logging email-based interactions in one place

Accessing the Add-In

  1. In Outlook, open the email you want to work from (or open Outlook to the home view).
  2. In the ribbon, open the Apps pane and click "Laudio". The Laudio pane opens on the right.
  3. Sign in if prompted. You will land on the Welcome back home screen, where you can choose Send message, Add note, or Copy email to Laudio.

Adding a Note

  1. From the Laudio slide out, click "Add note".
    • Tip: You can also highlight text directly in an email and click the note icon in the pop-up toolbar to pre-fill the note with that text.
  2. Under Relates to (required), select one or more team members. At least one team member must be selected.
  3. (Optional) Click Select template to start from a saved template.
  4. Enter a Note title and the Note details.
  5. (Optional) Under Attachments, click Click to upload your file. Supported formats: Images, PDF, Excel, and Word. Maximum file size: 10MB.
  6. Click Add note. A confirmation appears, and the note is logged to each selected team member's profile.

Copying an Email to Laudio

  1. Open the email you want to copy, then open the Laudio pane and click Copy email to Laudio.
  2. Under Relates to (required), review the team members. Recipients from the email's To and Cc lines are selected automatically; add or remove team members using the search field as needed.
  3. Review the Subject and Email fields, which are pre-filled from the message. Remove any PHI before continuing.
  4. Click Copy email to Laudio.
  5. A confirmation appears, showing the team members the email was logged for. The entry appears in the Activity Feed, marked Added from Outlook.

FAQs

Q: Does "Copy email to Laudio" create an email or a note?
A: It logs the email — subject and body — as an email on the selected team members' profiles. (The Add note action is what creates a note.) Both appear in the Activity Feed; entries created from Outlook are marked "Added from Outlook."

Q: How are the "Relates to" team members chosen?
A: For a copied email, the recipients from the email's To and Cc lines are selected automatically. You can add or remove any team member using the search field before saving.

Q: Can I relate a note or email to more than one team member?
A: Yes. You can select multiple team members under "Relates to," and it is logged for each of them.

Q: What can I attach to a note?
A: Images, PDF, Excel, and Word files, up to 10MB.

Q: Can I use templates in the add-in?
A: Yes. When adding a note, click "Select template" to start from a saved template.

Q: Where do notes and copied emails show up in Laudio?
A: In the Activity Feed and on each related team member's profile. Entries created from Outlook are marked "Added from Outlook."

Q: Can I include PHI?
A: No. Do not enter any information that can be classified as PHI in a note or copied email.
